In the preceding exercise, you created a diagram in which the color of the flowchart shapes and the color of an icon signify data values in the shapes. However, there’s no way to tell what each color means.

Insert Legend

  1. On the Data tab, in the Display Data group, click the Insert Legend button, and then click Horizontal. Visio always inserts the legend in the upper-right corner of the drawing page.

    Visio constructs the legend from a combination of containers and lists.

    Once Visio has placed a legend on the page, you can edit it. In the next three steps, you will edit the legend to make it more descriptive.

  2. Click once on the red pennant that displays equals 5 and type High.

  3. Click once on the orange pennant that displays equals 4 and type Medium High.

    Notice that Visio automatically expands the size of the legend shape because your replacement text is longer.

  4. Continue typing descriptions for the remaining risk flags:

    • Yellow: Medium

    • Green: Medium Low

    • Blue: Low

    Because the width of the legend increased when you typed longer text labels, you will want to move it to the left so it remains within the page margins.

  5. Click the legend heading (the word Legend) to select it.

    Tip

    You cannot select the legend by clicking anywhere in its interior; this behavior is characteristic of a list or container.

  6. Press the Left Arrow key to nudge the shape until it is once again aligned with the page margins. The upper part of your finished drawing should look like the following graphic.

Clean Up

 Save your changes to the HR Process Map with data graphics drawing, and then close it.

Tip

After placing a data graphic legend on the page, Visio never updates it. Consequently, if you change the attributes of a data graphic in a way that affects the legend, you must delete the existing legend and insert a new one.
